Book twenty minutes now. In the middle of the day the stand is three deep and you will not get them.

Two hundred badge scans is not two hundred leads, and everybody exhibiting knows it. The conversations worth having at a show are the ones already in a diary, so this is a booking page with a stand number attached rather than a brochure with a form at the bottom.

Put your own show, hall and stand number in the hero, and your own numbers here. The second one is the one that will make a visitor trust the fourth.
Where we are, and what is actually on the stand
Hall and stand — [Hall X, stand 000] — replace this with yours, and add which entrance is nearest. A stand number without a hall is a twenty-minute walk
Three things running, not a video loop — Name the three. A screen playing a film is a screen; something a visitor can put their hands on is a reason to stop, and it is the only thing that survives a noisy hall
Somewhere to sit and a decent kettle — Two chairs and a table are worth more than a wall of graphics. If you have booked a slot, the table is yours for the twenty minutes
No bar, no raffle, no giveaway — All three collect people who would not have come over otherwise, which is exactly the problem. We would rather have twelve conversations than four hundred scans
Step-free, with room to turn — State the truth about your own stand — a raised platform, a narrow entrance or a cable run all matter and nobody can see them from the floor plan
Quietest first thing and late afternoon — If you want time without a booking, that is when to come. The middle of the day is not the time for a technical question
Book twenty minutes
Pick a slot and it is yours. You will get a name, a stand number and a calendar entry, and whoever you are meeting will have read your enquiry before you arrive rather than during it.
Connect your own scheduling account in the editor. Twenty-minute slots with a ten-minute gap works better than back-to-back — the gap is what stops the third meeting starting fifteen minutes late.
Who should book, and who should not
Slots are limited and a wasted one costs somebody else a conversation. This section exists to protect that, not to be exclusive.
Book if you have a live requirement — Something you are actually trying to solve this year, with somebody who can decide or who briefs the person who can. That is the whole test
Book if you are evaluating and want to see it fail — Bring the awkward case. The twenty minutes are far more useful spent on the thing you doubt than on the demo we have already rehearsed
Do not book to sell us something — Come to the stand and say hello, or send it to the address on the footer, which is read by a person. A slot taken for a pitch is a slot taken from a customer
Do not book for a demo you could get on a call — A show floor is a bad room for a screen. Ask and we will send a link the same day — it is faster for you and cheaper for us
Do not book if you need six people in the room — That is a proper meeting and it deserves a proper room. We will set one up rather than pretend a stand can hold it
Students and researchers, please just come over — Genuinely welcome, genuinely interesting, and the stand is the right place for it rather than a booked slot
What happens in the twenty minutes
Five minutes on your problem — Not on our product. If we spend the first five minutes talking, the meeting has already gone wrong and there is no time left to fix it
Ten minutes on whether this actually does it — Including the parts where it does not. A show is the cheapest possible place to find that out, and the most expensive place to hide it
Five minutes on what happens next, with a date — A named next step and a day it happens on. "We'll be in touch" is how a good conversation becomes nothing
Somebody who builds it will be there — Not only a salesperson. Half the useful questions at a show cannot be answered by anyone else, and the honest answer to a hard one is worth more than a confident wrong one
Bring one real example — A drawing, a spreadsheet, a photograph of the thing that keeps breaking. Twenty minutes on something specific beats an hour on something general
You leave with a written summary — Sent within two working days: what you said, what we said, what we agreed, and what we could not do. It is also the record if anybody remembers it differently
A badge scan is not consent
It is a record that two people stood near each other in a hall. Treating it as permission to start a mailing relationship is why most exhibitors' follow-up gets deleted unread, and it is worth saying out loud before you let anyone scan you.
What a scan actually gets you from us — One email, once, saying we met and what we talked about. If you do nothing with it, that is the end of it and nothing else follows
The mailing list is opt-in, inside that email — One link, one click, and not pre-ticked. A list built from people who chose it is smaller and worth immeasurably more than one built from a scanner
Booked slots get the written summary — Within two working days, whether or not anything is going to come of it. That is a courtesy rather than a funnel step
We do not sell or share the scan list — Not to a partner, not to a reseller, not to the organiser beyond what the organiser already has. Your badge data is theirs and ours, and that is where it stops
Tell us on the stand and we delete it — Say you would rather not be contacted and the scan goes, that day, no form and no confirmation email about the confirmation email
No automated sequence, ever — Nobody has ever been persuaded by the fourth message in a cadence. If we have something worth sending you, a person will write it
Cannot make the show?
Then a show is the wrong place to have the conversation anyway. Send this and we will book the same twenty minutes on a call, in a quieter room, with the same person and the same summary afterwards.

Book the same twenty minutes, off the floor

The second question is asked so a slot is not held for somebody who is already coming. If you are attending and the calendar is full, say so — a cancellation usually appears.
